QR Codes & Online Contact

This page explains what happens when you scan one of my QR codes or contact me using the links on my cards, leaflets or social media.

Who I am

I’m Dr Anya Kopieczek, a GDC-registered dentist providing general dentistry and facial aesthetic treatments in the UK.

What happens when you scan my QR code

When you scan my QR code, you may be taken to:

  • A WhatsApp chat with me

  • An online enquiry form

  • An online booking platform (such as Glowday or a dental practice website)

  • My website or social media profile

Any personal information you choose to share (for example your name, contact details and treatment interests) will be handled in line with this notice and, where relevant, the privacy policies of the booking platform or clinic.

 

The information I may collect

Depending on how you contact me, I may collect:

  • Name

  • Contact details (e.g. mobile number, email address)

  • Preferred clinic/location

  • Information about the treatment you’re interested in

  • Relevant medical information you choose to share in advance of a consultation

  • Date and time of your enquiry or booking

If you go on to have treatment, I will also keep clinical records, as required by professional and regulatory standards.

Why I collect and use your information

I use your information to:

  • Respond to your enquiry or WhatsApp message

  • Arrange, confirm or manage appointments

  • Keep appropriate clinical and administrative records

  • Follow up after appointments where appropriate

  • Maintain safe, high-quality care and meet my legal and professional obligations

I do not sell your data or share it with third parties for unrelated marketing.

Lawful basis for using your information

Under UK data protection law (UK GDPR), I rely on:

  • Consent – where you actively choose to contact me or ask for information

  • Legitimate interests – to respond to your enquiry, manage appointments and run my practice

  • Legal obligation and public interest in healthcare – for keeping appropriate clinical records and complying with professional and regulatory requirements

Who your information may be shared with

Where necessary, I may share your information with:

  • Booking platforms (e.g. Glowday)

  • Dental practices or clinics where I see you as a patient

  • IT and practice management providers who support my systems (under appropriate confidentiality and data processing agreements)

  • Other healthcare professionals, but only with your knowledge and where relevant to your care, or where I am legally required to do so

I do not share your information with third parties for their own marketing purposes.

How long I keep your information

I keep your information only for as long as needed to:

  • Respond to your enquiry

  • Manage your appointments and care

  • Meet my professional, legal and regulatory obligations

Clinical records are kept for the minimum periods recommended for healthcare records in the UK. Enquiries that do not lead to treatment may be deleted sooner.

Your rights

You have rights over your personal data, including:

  • The right to access a copy of your information

  • The right to rectification if anything is inaccurate or incomplete

  • The right to erasure in some circumstances

  • The right to restrict or object to certain types of processing

  • The right to complain to the Information Commissioner’s Office (ICO) if you are unhappy with how your data is handled

WhatsApp

If you contact me via WhatsApp:

  • Your messages are processed by WhatsApp under their own terms and privacy policy

  • I will only use your number and messages to respond, manage appointments and provide care

  • Please avoid sending photos or medical information that you are not comfortable sharing electronically
